ShareVis FormEx extends SharePoint workflow with easily configurable Web-based forms that allow each node in the workflow to be associated with a custom form view. The forms and views are defined using Microsoft's InfoPath product and once published to the SharePoint server, they become Web-based forms, allowing all participants to interact with only their basic Web browser.

Use ShareVis FormEx to:

  • Easily define custom forms using Microsoft InfoPath and automatically create Web-based forms by publishing to your server with ShareVis Designer. Associate each node in the workflow and each participant in the process with their own custom web view of the form.

  • Control each workflow participant's view of the form throughout the workflow process by connecting each node in the workflow with a specific form view. For instance, some participants may see some information as read only while other participants don't see the information at all.
  • Control who can attach files, replace files, and assign workflow participants. For example, a request might come in to a customer support person who in turn assigns the remainder of the workflow participants.
  • Automatically assign participants based on a product number or other criteria such as lookup in Active Directory.
  • Allow for some of the approvals to be handled via email, in which case a printable view of the form is attached with the email. The attached form will also include any file attachments.
  • Provide easy lookup and update of data in other data sources. As well are update information in other data sources.
  • Automatically fill in the form with workflow data as the process executes. For example, update a field in the form indicating who "signed off" at a particular step in the workflow, and what their comments were.
  • When the workflow is complete, print the form with the same information as the workflow history -- dispositions, names, and dates.
  • Collect information and start other processes using the information. For example, collect information for a purchase requisition, and once approved, update your ERP system with the data and create a purchase order in the ERP system.
  • Deploy process-enabled Web-based forms to automate corrective action, engineering changes, supplier forms, employee time-off requests, expense reports, and other forms within SharePoint.
  • Create processes with one or many document attachments and route them for review where participants add their comments and attach their marked-up attachments.
  • Automatically interface ShareVis FormEx with other systems using ShareVis Plugins, leveraging SharePoint/ShareVis' ease-of-use and cost effectiveness with more expensive and difficult to use systems.
  • Export fields from your FormEx form to SharePoint columns, and use the columns to control workflow branching, do reporting, etc. For instance, automatically route a request that exceeds a specified amount to someone higher up for approval.
  • Leverage the columns in SharePoint for reporting.
  • Leverage other products and Web Parts to provide additional functionality such as dashboards and charting.
