As part of the sales cycle ShareVis typically offers to configure and demo a workflow and web-form process. In most cases the a company will already have a quote for a custom implementation of the same process and seeing it easily configured in ShareVis really opens their eyes to the power of ShareVis. The process showcased in the demo usually ends up being the first process the company deploys once ShareVis is installed.

Objectives
- Automatically assemble and generate documents based on input from a ShareVis FormEx form.
- Allow users of the form to fill in some information and select other information such a document type, product number etc., which automatically compiles the text for and creates an appropriate Microsoft Word document.
- Have the document follow an approval process and once approved automatically create a PDF document for distribution.
- Automatically notify stake holders via email with the document attached once the process is completed.
- Keep track of each reviewer's progress; remind them if they're late.
Implementation
- ShareVis Designer is used to define a processes that includes a step for 'Legal' review. The process can be configured with any level of approval workflow.
- ShareVis "plugins" perform a number of the automated tasks in compiling the document content and creating the PDF version.
- Leverage SharePoint lists for storing the text sections to be used to configure the document.
- The forms are designed using Microsoft's InfoPath product (web form at runtime). Views are prepared for the different activities in the workflow. The ShareVis extension to InfoPath are used to connect the views of the form the activities of the workflow ensuring that each participants sees only appropriate information and that parts of the form like approver names and dates can be automatically filled in by the workflow process during execution.

The purple plugins do most of the work in this process that basically consist of the "Originator" that submits the forms and "Legal" that reviews it. Once the plugins are 'done' legal and originator receive notifications that the document is ready. ShareVis provides monitoring and synchronization features that ensure that the plugins like content assembly and PDF-conversion is properly synchronized. |
